Office Administrator

What's expected of you?

  • Conduct daily office operations and administrative tasks

  • Be responsible for the reception area and greet clients with a friendly demeanour

  • Manage incoming calls and assisting with inquiries and requests

  • Handle email and calendar responsibilities, including scheduling appointments, meetings, and conferences both online and in person

  • Organise and maintain legal files in both physical and electronic formats

  • Provide support with invoicing and payment processes

  • Complete all necessary paperwork and documents quarterly for financial purposes and managing petty cash

  • Communicate effectively with clients, professional advisors, banks, and authorities via telephone and written correspondence

  • Collaborate with backend administration and content writers to post on the organisation’s website and social media platforms

  • Running errands as required


What are you expected to bring?

  • Possess a minimum A-Level standard of education

  • A minimum of 1 years of work experience

  • Excellent communication skills in English, with proficiency in Maltese preferred

  • Strong interpersonal and communication skills, both written and verbal

  • Exceptional organisational skills and meticulous attention to detail

  • The ability to manage confidential information

  • Possess the skill to prioritise tasks and adapt to changing circumstances

  • Ability to thrive in a fast-paced environment

  • Proficient in Microsoft Office and basic social media skills
