Administration Assistant

Are you customer-oriented and do you have an eye for detail? We are seeking to recruit an Administration assistant, for one of our clients. If you are looking for a new challenge, we at Ceek would love to hear from you!

 

What is expected of you?

  • Communicate with clients over the phone, through email, or via social media
  • Liaise with staff members and clients
  • Schedule and manage appointments with clients
  • Type letters, memos, reports, and issue monthly sales emails to agents
  • Update database entries, other computer records, and company website
  • Request, receive, and process data from sources such as invoices, forms, and other documentation
  • Ensure accuracy of data and report discrepancies accordingly
  • Print, photocopy and bind documents
  • Manage office supply inventories and housekeeping
  • Organize meetings and keep minutes
  • Organize filing systems and maintain up-to-date records on clients and staff
  • Manage and update the database
  • Coordination of related events
  • Creation and posting of adverts

 

What are you expected to bring?

  • A qualification related to Business Administration
  • Knowledge of administrative, clerical procedures and systems
  • Written and verbal communication skills in Maltese and/or English
  • Experienced with MS Office applications Word, Excel, and PowerPoint
  • The ability to use and maintain office equipment
  • Telephone, numeracy, and data inputting skills
  • Organizational and planning skills
  • Problem-solving and decision-making skills
  • Time management skills and multitasking skills
  • The ability to work under pressure and adhere to tight deadlines
  • The ability to work independently and as part of a team
  • A methodical approach to work
