What is expected of you?
Issuing of invoices and other related information including credit notes
Processing and recording sales orders and other related information.
Ensuring products / materials are available and in stock or have been forwarded to suppliers for ordering, as well as ensuring that orders have been issued at the correct authorized price
Reserving stocks / materials for clients when required, and ensuring that all reservations are eventually ordered, or the reservation cancelled
Review, monitor and update stock information
Assist with the performance and processing of stock takes
Responding to customer / shipper queries or complaints
Responsibility over the preparation of purchase orders for suppliers. This includes the examination of products or materials, providing estimations for quantity / type of transport containers and liaising with the supplier accordingly
Providing routing information and issuing shipping instructions to ensure deliveries arrive on time and to their correct location. You will also be responsible for tracking of goods enroute to their destination ensuring any problems that may arise are resolved to avoid delays.
Responsibility over the accurate calculation of the shipping, handling and other related costs, ensuring they are then passed onto the customer accordingly. This may also include the setting of sales prices.
Negotiation of rates with suppliers such as carriers, warehouse operators and insurance companies and prepare tariffs for customers, ensuring the required profit margins as directed by the company are achieved.

Previous experience within other administrative roles and within areas of Shipping will be considered an advantage

Ability to manage and complete multiple tasks
Ability to maintain confidentiality and discretion
Strong communication skills – a good level of written and spoken English is required
Ability to work with industry standard computer packages such as Microsoft Word, Excel PowerPoint
